Learn about how to run events and trips safely, who to contact in an emergency, as well as insurance details.

Event and activity risk management

There are some actions you can take to make sure that your club events are safe, inclusive and prepared in case of an emergency. 

Risk management form

Clubs should make sure they are completing all necessary fields on the RMIT Clubs Event and Activity Risk Management Form. Clubs should also take note of the contained information in the confirmation email including what do in case of emergency.

Alcohol management

Clubs should be aware of RMIT's Alcohol Procedure when running events and activities, both on and off campus.

Food safety

For on and off campus events, clubs must ensure people preparing and serving food have valid safe food handling qualifications. This does not include food from a food service e.g., pizza/prepackaged food. If clubs are using a caterer or at a commercial venue the caterers are responsible, but clubs should check to ensure the commercial entity can provide evidence of food handling qualifications.

Clubs can complete the DoFoodSafely training from the Department of Health Victoria.

Responsible Serivce of Alcohol

RMIT requires clubs to have members who hold a valid Responsible Service of Alcohol certificate at club events where they are selling (cash bar/included in ticket price) or giving away alcohol.

Clubs must appoint an Event Coordinator who must have the following:

  • Current, certified training in Responsible Service of Alcohol in Australia or equivalent in other countries where applicable (this requirement can be delegated to a catering company when they are contracted to be present).
  • Be present for the duration of the event and remain on-site until all participants have departed.

Liquor licences

  1. All functions and events must be conducted in accordance with the relevant local liquor licensing laws.
  2. Event Coordinators wishing to sell alcohol at an event, either directly or via a cover/admission charge are responsible for obtaining a liquor licence.
  3. A copy of the liquor licence must be made available to the RMIT Security Manager and RMIT Student Life on request.

Please check if your event or activity needs a liquor licence by using the online tool provided by the Victorian Gambling & Casino Control Commission.

Insurance cover

RMIT University has several insurance policies in place providing cover for RMIT and its registered clubs.

Member accident insurance

The RMIT Personal Accident policy provides cover for RMIT students and other non-RMIT students who are members of RMIT associations and clubs. Cover under this policy is confined to an accident which is described as an unforeseen event resulting in an injury. The policy provides no cover for sickness or pre-existing conditions. This cover is for injuries sustained whilst engaged in club organised activities, and only available to financial members who are registered on the RMIT Student Life club administration site

The circumstances of the accident will affect whether you are able to make a claim. The policy provides capital benefits, cover for non-Medicare medical services and auxiliary services. Cover is not provided for injuries covered under any other insurance policy, e.g., Medicare, Private Health Insurance, transport accident compensation, workers’ compensation etc. 

It is therefore vital that all clubs are extremely diligent in ensuring all individuals participating in any of their club activities are officially registered club members and must be registered on the RMIT Student Life club administration site and the required club membership fee is paid to the club.

Therefore, accident insurance will be offered to everyone provided the following criteria is met:

  1. Registered on the RMIT Student Life website http://rmitlink.rmit.edu.au/ ).
  2. The required fee has been paid to the club.
  3. The club activity has been approved with RMIT Student Life as an official club activity*.

* Through submission of a Club Event and Activity Risk Management Form.

To make a claim a qualified medical practitioner must certify disablement or treatment claims. 

Details of RMIT’s personal accident policy can be found on the RMIT current students site, or contact the Clubs & Societies Program Coordinator.

It is important to note that RMIT’s personal accident insurance coverage DOES NOT include ambulance cover. RMIT Student Life strongly recommends all club members purchase their own Ambulance Victoria membership

Property insurance

The University’s property insurance is designed to cover high-value losses and will respond to significant damage to RMIT buildings and large assets. It does not cover personal property or items valued at less than $50,000 in total. These items will be considered the responsibility of the owner or the cost centre.

Property and liabilty insurance

RMIT Student Life and its registered clubs are insured against their legal liability to pay damages or compensation in respect of an injury to a third-party person, or damage to a third party’s property, caused in connection with the University's business. Legal costs and other professional costs related to such a claim may also be covered by the policy.

Professional indemnity

This policy covers liability arising from a breach of professional duty by RMIT Student Life and its registered clubs in the provision of professional services.

Marine hull

The Marine hull insurance provides material damage cover for declared watercraft.

General insurance and claim information

Remember, attend to persons injured or unsafe, take all reasonable action to stop or reduce further injury or loss. Do not make any statements as to the cause of the injury or loss and do not admit liability or make any assertions about the payment of medical or other related expenses. Notify RMIT immediately. 

Any event, which may give rise to a claim under any of RMIT’s policies, must be reported as soon as possible. Ideally immediately after the emergency/medical matters are completed. Please contact the Clubs & Societies Program Coordinator. Always seek advice from RMIT Student Life before signing a contract on behalf of RMIT.

Incident reporting

Should an incident or near miss happen to any club member involved in a club activity or event, appropriate accident/incident management procedures must be followed by the individual in charge of the activity (i.e., coach, instructor, or trip leader).
 

Incident report form

For all incidents occurring during the course of a club activity/training session/competition (even for minor injuries and near misses), you can report via SafetyNow.

RMIT staff will be in contact to follow up if more information is required. 
 

Serious accidents

In the event of a serious physical accident or incident (i.e., a car accident or personal injury) or if you are ANY way unsure of the serious nature of the accident or injury, after calling Emergency Services (000), contact RMIT Security.

Safer Community

Safer Community provides support and advice to RMIT students and staff concerned about threatening or inappropriate behaviour including sexual assault and harassment, and family violence.

Bringing in the bystander

Learn how to be an active bystander, including speaking out if you witness concerning or harmful behaviour.
 

Threatening and unwanted behaviour

If you are feeling unsafe or unsure what to do about threatening or unwanted behaviour, you can talk the RMIT Safer Community about your concerns and options – even if the behaviour happens off campus. If you or someone you know has experienced unwanted or threatening behaviour – including sexual harassment or assault, Safer Community can help.
